Setup & Cleanup

Your contracted time must include all time needed by the rental party and vendors for decorations, setup (with exception of included equipment so long as a floor plan is submitted), and cleanup.  The rental party and vendors will not have access to the building prior to the contracted time.  If additional time is needed you may add an hour, add an additional time block (weekday events), or your time block must be adjusted to appropriately include the time you wish to enter ultimately ending your time block that much earlier (weekend events).  No unpaid additional time will be permitted. 

The rental facility must be returned in the condition it was provided to the renter and all tables and chairs cleared of all debris.  Waste and all paper products must be placed in the dumpster.   

Any time used outside of the contracted time (for early vendor access, deliveries before or after, etc.) will result in an overage in time which will be charged the hourly rate (varied dependent upon the day of the week) and will be taken from your Security Deposit.

Vendor Arrival and Deliveries

No access to the building will be granted before or after your contracted time.  When your contract time begins the rental party and vendors will be permitted to enter.  Any deliveries or equipment drop off/pick up must be scheduled and happen during your contracted time.  Please be sure to communicate the correct times to your vendors for arrival and delivery.  Any equipment not picked up during your contracted time will be left outside of the building and is not the responsibility of the Lake Mary Events Center.  No deliveries may be done prior to your time block or the day before an event (this includes but not limited to: decorations, alcohol, cake, or event equipment) as the building is used seven (7) days a week, often multiple times a day, and we do not have storage available.

Decorations

No decorations, in any way (tape, tacks, nails, staples, etc.), may be attached to the walls, doors, windows, window coverings, chairs, painted surfaces, or hung from the ceiling.  Candles are permitted as long as the flame is enclosed in glass (such as a votive or hurricane lamp) or floating in liquid and the wick is at least one (1) inch below the top of the glass.  No open flame or hand held candles are permitted inside the building.  Fog machines may be used if utilizing dry ice.  Decorations are permitted within reason, and only in the space you have rented, but certain decorations must be approved by management such as draping, outside decorations (trellis’ included), market lighting, etc. no less than ten (10) days prior to your event.  Glitter, and other confetti like decorations are prohibited.   It is the responsibility of the renter, or vendors, to remove ALL decorations immediately after your event and during your contracted time. 

Wedding Exits

Sparklers, bubbles, glow sticks, and ribbon wands are permitted for your wedding exits.  Sparklers are only permitted outside of the building and must be disposed of properly.  A bucket of sand or water must be provided by the rental party to extinguish the sparklers and once cooled thrown away.  Confetti, throwing of rice, dried lavender, sprinkles, pom-poms, and fireworks* are prohibited.  Failure to adhere to these rules will result in a loss of your Security Deposit.  Any wedding exit not mentioned above would need to be approved by management.   (*Fireworks are not permitted in the City of Lake Mary).

Music

The City of Lake Mary does have a standing noise ordinance. The noise ordinance is complaint driven and the Rental Party’s vendor may be
asked to turn down or turn off any music not meeting the City’s requirements. Please inform your chosen DJ/Band/Performer of the City’s
strict noise ordinance (which is listed in your contract or can be provided if needed). No subwoofers allowed on premises, please notify
your DJ.


Outdoor Music

Outdoor music, whether acoustic or provided by DJ, is permitted for an outdoor ceremony only. After an outdoor ceremony the only
music permitted outside is acoustic and will require approval by management. Examples of music approved: ceremony, string quartet,
harpist, acoustic guitar. Examples of music not approved: steel drums, live bands, DJ’s, or any music amplified with speakers.
